Receptionist & Administrator

At Lady Allum, we’re looking for a Receptionist & Administrator who brings warmth to every interaction and care to every detail. You’ll be one of the first people our residents, whānau and visitors see, while behind the scenes, you’ll help keep our village organised, connected and running smoothly.
It’s a role for someone who likes being at the heart of things. One moment you might be welcoming a family through the door, the next supporting the Village Manager with information, solving an administrative query or making sure an important process is on track.
Above all, you’ll understand that how we do things matters just as much as getting them done.
What you’ll be doing
Be the welcoming face of Lady Allum, greeting residents, whānau, visitors and contractors with warmth and care
Manage reception and respond to calls, enquiries and correspondence in a helpful and professional way
Provide day-to-day administration that keeps the village organised and running smoothly
Support the Site Manager with financial and non-financial information and reporting
Maintain accurate records, documentation and information across a range of systems
Use Microsoft Office and our internal systems confidently and accurately
Support Health & Safety processes, requirements and documentation
Work alongside the wider team, noticing what needs doing and helping make it happen
What you’ll bring
Previous administration, reception or similar experience
Strong Microsoft Office skills and confidence learning and navigating different systems
Excellent organisation and attention to detail
Confidence working with financial and non-financial information
A good understanding of Health & Safety requirements and procedures
Clear, warm and professional communication
The ability to juggle priorities and stay calm when the day gets busy
Discretion and good judgement when dealing with confidential information
Most importantly, a genuine desire to make residents, whānau and visitors feel welcome and cared for
